Schedule of services and fees for Landlords: 


At Ruxton, we offer two straightforward letting services from finding you a tenant only to our full managed service. 




This includes; 


✓ Carefully targeted local and internet marketing 

✓ A member of staff shall accompany all our viewings 

✓ References carried out for new applicants 

✓ Preparation of Assured Shorthold Tenancy Agreement 

✓ Set up standing order for rent payment to your account 


The Fee for this service is 90% inclusive of VAT of the first full month’s rent received subject to a minimum payment of £540 inclusive of VAT 




This includes; 

✓ Carefully targeted local and internet marketing 

✓ A member of staff shall accompany all our viewings 

✓ References carried out for new applicants 

✓ Preparation of Assured Shorthold Tenancy Agreement 

✓ The tenants deposit to be held with the Tenancy Deposit Scheme 

✓ A full property inventory and schedule of condition 

✓ An accompanied check in service 

✓ The collection of rent and provision of monthly statements 

✓ Property inspections carried out every 3 months and a written report sent to you by email or post 

✓ Property management and maintenance handling 

✓ An accompanied check out service dealing with any dilapidations before returning the tenants deposit 


The fee for this service will be £400 inclusive of VAT as an initial set up fee and 12% inclusive of VAT of the monthly rent collected. This will be deducted from the monthly rental payments. 


Additional Fees as outlined in the agency agreement;


✓ Subsequent set- up fee (for relet) £330 (inc VAT) per new tenancy 

✓ Additional property visits £42 (inc VAT) 

✓ When more than one quote for maintenance works is requested this will incur a charge of £24 (inc VAT) may be charged 

✓ If the landlord asks Ruxton to visit the property to determine if maintenance work is required a charge of £30 (inc VAT) 

✓ Where a Landlord instructs Ruxton to organise improvement/refurbishment projects, a project fee of £30 (inc VAT) will be payable at time of instruction to cover set up and contractor quote costs. When the work is completed a charge will be payable for arranging such work. The charge will be the equivalent to 12% of the net cost of the work (inc VAT) 

✓ If we are required to attend court on behalf of the landlord there will be a charge of £180.00 per day (inc VAT) 

✓ Tenancy Renewal £120.00 (inc VAT) 

✓ Serving Section 8 £80.00 (inc VAT) (Gain possession of the property) 

✓ Serving Section 21 £80.00 (inc VAT) (Notice of termination of the tenancy) 

✓ Serving Section 13 £80.00 (inc VAT) 

✓ Registering the Deposit with the Tenancy Deposit Scheme for Tenant Find Landlords £50.00 (inc VAT) 

 Annual fee of £50.00 (inc VAT) for holding the deposit with the Tenancy Deposit Scheme

Schedule of services and fees for Tenants

Permitted Payments

Before the Tenancy starts (payable to Ruxton Lettings ‘the Agent’)

Holding deposit: 1 weeks rent

Ruxton Lettings will take a holding deposit of equivalent to 1 weeks rent. Ruxton Lettings will hold this for 15 calendar days as a maximum before signing your Tenancy Agreement. Ruxton Lettings will use this holding deposit towards your Tenancy Deposit unless otherwise agreed in writing. If there are any delays in signing the agreement such as referencing etc, any extension of the 15 days will need to be agreed in writing. 

Deposit: Equivalent to 5 week’s rent 

A security deposit of 5 week’s rent will be taken and this will be held either by Ruxton as stakeholder for the Landlord or by the landlord directly.  In line with the latest Deposit Regulations, you will be notified in writing as to where the deposit will be held and what process is followed at the end of the Agreement.  If the deposit is held by Ruxton, we are members of the Tenancy Dispute Service. During the Tenancy (payable to the Agent) 

Payment on variation, assignment or novation of a tenancy: £50.00 (including VAT) 

Ruxton Lettings will charge a payment of £50.00 (including VAT) for any changes made to the Tenancy agreement where requested by the tenant(s). 

Payment for early termination of a Tenancy: 

If for some unfortunate reason, you are no longer able to remain at the property, you MUST notify Ruxton immediately in writing. We will then consult with your Landlord to ask if we can re-advertise the property.  The Tenant(s) would be liable to pay for full rental, gas, water, council tax, electricity and telephone/internet payments until the day the new tenants(s) have taken up occupation or until the original termination date of the agreement, whichever is sooner. The Tenant(s) will be liable to pay for the Landlords re let fee from Ruxton Lettings or the total amount of rent remaining on the tenancy, whichever is less. 

Payment for the loss of keys and security devices: 

The tenant(s) will be required for covering the cost of replacing any keys or security devices, the cost of this will depend on the supplier and an invoice will be provided. 

Late payment of rent:

Your rent will be payable on the 1stday of each month for properties managed by Ruxton.  If your Landlord is managing the property, then your rent will be payable on the monthly anniversary of your Tenancy Agreement. You will be asked to sign a standing order mandate, instructing your bank to pay the rent into either the Ruxton account (if managed) or directly to the Landlord. The standing order mandate will be signed when you sign the tenancy agreement.

If Ruxton have not received your rent by the 14thday of the month, you will be sent a reminder letter and incur a charge of 3% above Bank of England base rate for each day that the payment is outstanding

Any payments received from you will always be credited against the oldest outstanding balance, be it rent, fees or any sundry debit.

Taking occupation of the property

Before moving into the property, an Assured Shorthold Tenancy Agreement will be drafted on behalf of both the Landlord and the Tenant.  It is essential that you read the Agreement carefully, as you will be legally bound by its terms and conditions for the duration of the agreement.  If you do not understand any of the clauses, please ask Ruxton to clarify or consult a Solicitor before signing.

PLEASE NOTE:  You will not be able to gain access to the property until this agreement has been signed and the relevant fees have been paid and cleared in our bank account.
